Using the planner without an account
Your guest list, tables and seating are stored only in your browser on your device (using its built-in storage). We can't see them. If you clear your browser data, they are erased, so download a backup from Backups & file sync if your plan matters to you.
How we measure and improve the service
To understand how couples find Your Seat Awaits and where the planner could be easier to use, we record how the website and planner are used.
| What we record | Why |
|---|---|
| A random visitor ID, created by your browser and kept in its storage (not a cookie). It isn't your name or email address. | To tell a returning visitor from a new one, and to see when people stop using the planner |
| The pages you visit and the steps you take in the planner, such as “opened the planner”, “imported guests”, “seated most guests”, “opened Design mode” or “exported”, with the time and how long each visit lasted | To see which features help and where people get stuck |
| Where you came from: the previous website, and any campaign tags in the link (for example ?ref=instagram) | To see which channels bring couples to us |
| Device type, browser and screen size | To make sure the site works well on the devices people use |
| Approximate location (country, state and city), worked out by Cloudflare from your internet connection | To understand where our couples are |
- We never record guest names, the contents of your plan, meals, allergies or notes.
- If you log in, this activity is linked to your account, so we can see how the planner is used before and after an order and help you when you contact us.
- IP addresses aren't stored with this information. Separately, for security, we keep the IP address used to sign in or send a message through our forms for up to 30 days to stop abuse.
- Detailed records are kept for 13 months, then deleted, leaving only totals that can't be linked to anyone.
- We don't sell this information or share it with advertisers.
- You can switch it off any time in the planner under Settings → Privacy, which also shows your visitor ID and lets you delete everything recorded about your browser. If your browser sends Do Not Track or Global Privacy Control, nothing is recorded.
- Deleting your account also deletes the activity linked to it.
If you sign in
| What we store | Why |
|---|---|
| Your email address, and your name and profile photo if you sign in with Google | To identify your account and send sign-in codes |
| The seating plans you choose to save to the cloud (guest names, parties, meals, dietary notes, tables) | So you can open them on any device |
| Sign-in sessions (with the device's IP address and browser type) | To keep you signed in and protect your account |
Seating plans can include other people's details, such as guests' dietary requirements or allergies. Only save what you need, and only share a plan with people who should see it.
If you contact us
When you send a message or an enquiry through a form on the site, we keep what you write, your name and email address, any details you choose to give (such as your wedding date, guest numbers and venue), the page you sent it from and, if you're logged in, a link to your account and seating plan. We use it to reply to you and, for enquiries, to prepare your order. We reply from hello@yourseatawaits.app. Enquiries that don't become an order are deleted after 12 months; messages about an order are kept with the order record. To stop spam, forms are checked by Cloudflare Turnstile, and the sending IP address is kept for 30 days.
If you order a seat finder
To make your seat finder, we open the seating plan you ask us to use and the details you give us in your brief (your names, wedding date, style choices and any monogram or artwork). We use them only to make and run your seat finder.
| Page | What it shows | Who can open it |
|---|---|---|
| Guest page | Guest names, table names, who is at each table, and a map of the room | Anyone with the link or QR code |
| Caterer link | Guest names with their meals, allergies and dietary notes, by table and seat | Only people you give the private link to |
- Meals, allergies, dietary notes, RSVP status and your private notes are never included on the guest page.
- Both pages have unlisted addresses that are hard to guess, and they ask search engines not to list them.
- Both pages are switched off within 14 days after your wedding, or sooner if you ask.
- Because anyone with the QR code can open the guest page, let your guests know it lists names and tables, and leave out anyone who has asked not to be listed.
- If you're a founding couple and agree to let us show your seat finder as an example, we replace every guest name with a made-up one first.
Payments
Payments are handled by Stripe. We never see or store your card number. We keep a record of each order (your name, email address, what you bought and the amount) because Australian tax law requires us to keep business records for five years.
Earlier versions of cloud plans
So we can help if something is deleted by mistake, each cloud plan keeps up to 10 earlier copies (taken at most every 10 minutes while you edit) plus one copy from the start of each day for 7 days. Earlier copies are deleted along with the plan or your account.
When we look at your plans
We only open a cloud plan or its earlier copies to make your seat finder, to help when you ask us to (for example restoring a version or moving a plan to another account), or to handle a privacy request. Every time we view, download, restore, move or delete a plan, it's recorded in an internal activity log.
How long we keep it
- Cloud plans are deleted automatically 18 months after they were last edited (we can keep one longer if your wedding is further away).
- You can delete any cloud plan at any time from My saved seating plans.
- You can delete your account in Settings → Account. This immediately removes your account and every cloud plan.
- Seat finder pages are switched off within 14 days after the wedding. Your brief and artwork are deleted 90 days after the wedding.
- Order records are kept for five years, as required for tax.
- Sign-in codes and links expire after 10 minutes. Expired sessions are cleaned up nightly.
- Usage analytics are kept for 13 months, then reduced to totals that can't be linked to anyone.
- Enquiries that don't become an order are deleted after 12 months. IP addresses kept for security are deleted after 30 days.
